Submit and approve an order

Who can do this

ActionProject role needed
Submit a draftEditor, Approver or Manager
Open the quote, approve, cancel or request an amendmentApprover or Manager

A workspace Viewer can do neither. A workspace Admin approves only if their own project role is Approver or Manager.

Step 2: Review & Submit

  1. Add Notes for our ops team (recommended): how the data will be used, accuracy or coverage needed, timing and priority areas. They appear on the quote as Customer notes.
  2. Check the Order name, Billing account and Data format under Order details.
  3. Click Submit order for review or Submit order, depending on processing levels (see below).

Submitting does not commit you to a price, and the payment method is chosen at approval. If the button is disabled, the page lists what is missing. The submit checks are: a billing account and data format are set, there is at least one deliverable and every tasking window starts at least 2 days from today in the area's local time.

The order receives its order number on submit.

Instant and reviewable quotes

A mixed Premium and Rush order goes to feasibility review as a whole; the Mixed Order dialog lets you remove the Premium deliverables instead. Rush is only offered for Imagery Point Tasking, so most orders are reviewed.

Feasibility review

During review you cannot edit, cancel or delete the order; contact your Terrabit account manager if something needs to change. Terrabit either accepts it (moving it to Pending Approval, possibly adjusting deliverables and prices and adding Notes from Terrabit) or cancels it with a reason.

The quote and its expiry

A quote is valid until the earlier of 14 days after it entered Pending Approval and midnight at the start of the earliest tasking window's start day (area's local time). The orders list shows a countdown, and Approvers and Managers get a Quote Expiring Soon reminder at 2 days left.

An expired quote cannot be accepted, but the order is not cancelled: request an amendment or cancel it.

Approve an order

  1. On the Orders page, click Review on the order's row.
  2. Read the quote. Under Order Configuration, choose a Payment Method; you can also change the order name, billing account and data format here.
  3. Accept the Terms & Conditions and click Accept Order. If it stays disabled, hover it to see what is outstanding.

The order becomes Active: archival deliverables move to In Progress, tasking deliverables to Planned. See Deliverable statuses.

A tasking deliverable whose capture window has already started blocks acceptance. Request an amendment so Terrabit can re-quote it.

Payment methods

Only methods Terrabit has enabled for your workspace are offered. If only one is, it is selected for you; if none are, the order cannot be approved. Approval re-checks the method, so one switched off after you chose it must be changed.

MethodWhat you must provide
CreditA credit deposit whose available balance covers the order total and has not expired. See How an order uses credit.
Direct InvoiceNothing more; invoiced to the billing account
Purchase OrderA Purchase Order Number, now or later

Purchase Order: if you approve without a number, the order shows PO Required and processing waits until you give the number to your Terrabit account manager. You cannot add it yourself after approval.

After approval, only Terrabit can change the payment method, deposit or PO number. Once a deliverable has been invoiced, the method cannot be changed at all.

Request an amendment

Click Request Amendment, optionally with a reason. The order returns to Pending Feasibility Review (even an instant-quote order) and you are notified when the revised quote is ready.

Cancel at approval

Awaiting approval is the only point at which you can cancel an order yourself. Click Cancel Order, optionally give a reason and confirm. The order and all its deliverables are cancelled, and this cannot be undone.

Notifications

Order events notify the project's Approvers and Managers; a cancellation also notifies the submitter, and an approval notifies everyone in the project. See Notifications.
